The Administrative Assistant will provide administrative support to the leaders and perform duties requiring independent judgment and the ability to multi-task. This position involves work of a confidential and sensitive nature requiring diplomacy, discretion and good judgment. Independent and self-motivated with excellent research and writing skills, able to interact and communicate effectively with employees, management, customers, vendors and the public in a business-professional manner. This position also includes Contracts administration and shipping arrangements at the NCO facility. Additionally, the position is responsible for checking expense reports, organizing business functions (lunches, dinners, meetings, off-site conferences); and maintaining a functional filing system for retrieval of documents. Candidate must present a professional demeanor in all transactions and be able to effectively use Microsoft Word, Excel, PowerPoint, and Outlook.
May assist in budget preparation and control activities.
May assist in the preparation and control of records, statistics, and reports regarding operations, personnel changes, timecards, etc.
Composes correspondence, on a needed basis, for external and internal customers.
Responsible for scheduling regular and special meetings, preparing agendas, ordering food, setting up rooms, etc.
Work may involve handling confidential and sensitive material.
Type monthly reports.
Generation of travel related documentation including preparation of travel authorization, check advance request, scheduling business seminars and completion of expense reports.
Serve as a Micro-Buyer using the online purchase requisition system for office supply stocking, etc. and back up for Buyer.
Responsible for company credit card and making purchases in accordance with company credit card guidelines.
Must communicate effectively with others.
Responsible for visitor management and primary receptionist responsibilities.
Maintain the highest ethical standards, even when challenged from above.
Understand and live by Esterline’s ethics and business conduct policies.
Contracts Administration and Shipping
Prepare and maintain Contractual & Shipping Files and Logs, and distribute/ track Contractual documents for review/approval by NCO Management team.
For Government contracts, complete required shipping documents in WAWF, WARP (MHP), SIR, Milpac Labeling.
Work with carriers, freight forwarders and customers to arrange shipping and pick up of all NCO shipments – forward documents as required following pick up. Follow up on shipment completion/delivery.
Provide required shipping documentation to corporate to ensure timely invoicing.
Maintain export license files.
Maintain Customer Complaint Log and Customer Surveys. Prepare corrective actions as appropriate. Analyze data and report at Management Review.
Maintain Hazardous Material certifications for IMDG, CFR 49, IMO, IATA, etc. as well as ensuring all manuals are current.
Executive Assistant certification or diploma
Possess Aerospace Industry experience
An entrepreneurial work ethic

Familiar with Export Compliance regulations

Education/Previous Experience Requirement:
Minimum of 7 years work experience in Business or Manufacturing Administration
2-year associate degree, preferred
Four 10 hour days – Monday - Thursday
40 hours per week
Overtime as needed
